How do I export my invoices to Excel?

Do you want your invoice data in Excel for your own analyses, reporting or archiving? Then use Export to myself. The export runs in the background: you receive an email with a download link as soon as everything is ready.

How to start the export

  1. Click Invoices in the main menu (this works the same way for credit notes, expenses and purchase slips)
  2. Click Export in the top right corner
  3. Choose Export to myself and click Next

Export invoices

  1. Select the documents you want to export; use the filters at the top to limit the list to, for example, a specific year or status
  2. Click Next
  3. Check the email address the export will be sent to (you can enter multiple addresses, separated by a comma or semicolon)
  4. Choose which file types you want to include alongside the Excel overview: XML (UBL), PDF and/or the original attachments
  5. Click Start export

You can simply close the window afterwards and continue working: the export is created in the background and the email will arrive in your mailbox a few moments later.

💡 Tip: under Settings → Emails, set the Email address export to myself field; that address will then be pre-filled every time.

What do you receive?

You get an email with a button to download a zip file. That download link remains valid for 48 hours; after that, the file is automatically deleted.

The zip file contains:

  • An Excel overview (.xlsx) of all selected documents, including invoice number, invoice date, due date, customer details, net and VAT amounts, total amount, status and payment information
  • Per document, the files you ticked: the UBL/XML file, the PDF and/or the original attachments

ℹ️ There is no separate choice between Excel and CSV: the data overview is always an .xlsx file, which you open in Excel or another spreadsheet program.

💡 Exporting a very large selection? The system will ask you to refine your selection, for example by period. In that case, create a few smaller exports.

What is the difference with “Export to accountant”?

In the same export module you will also see Export to accountant. That is a different flow: it lets you email the documents themselves (as XML (UBL), PDF and/or attachments) directly to your accountant’s digital mailbox. The Excel data overview via Export to myself is intended for your own use.
